need help writing a letter to parents

Anne_Prather
Need help in writing a letter to all the parents of a teacher. I would like to put together somekind of gift card tree and ask parents to make a small donation for it. Does anyone have a letter I can kind of copy and go by?

Hi Anne_Prather, and welcome to GreatSchools parent community.

I'm not in the same state as healthy11, but she sure is in the same state of mind as our room mom for the last three years--that's virtually the same letter I've seen each year at Christmas and at year's end. :)

HI. I was a room mom for several years, and can try to assist. How old are the students involved? (Your photo looks like you have younger kids, so I'm going to assume they still like to color.) Instead of trying to circulate a single card for signatures, I'd recommend giving each child in the class a half sheet of paper with your letter, ask them to decorate their own "family" cards, then return them to you with a voluntary donation by a certain date... You might still have to do some "follow up" with families who forget, but by asking for something besides money to be returned to you, at least you'll know that everyone got the message. "Card trees" and "phone trees" tend to always have someone who forgets to forward them..I recommend putting a note in each child's backpack, that says something like:

"Dear Parents,
As you may have heard, (Mrs. XYZ) has recently (been hospitalized; had a baby; experienced the death of her mother; whatever) and we would like to let her know that her students and their families are thinking about her (and wishing her a speedy recovery; hoping she'll be able to return soon; saying prayers; whatever else is appropriate.)
Please have your child decorate the enclosed piece of paper as a greeting card, and sign it from your family, then return it no later than (this Friday.) We would also like to invite you to contribute to a small gift for (Mrs. XYZ) It is not mandatory, but if you are able to donate ($5, something) we know it will be appreciated. We would like to give her the cards and gift soon, and we thank you again for returning everything by (4/24/09.) You can send it in your child's backpack to the attention of (Room 123 Parents.)
Sincerely,
Mrs. Prather (and Mrs. Smith),
(2nd Grade Room 123 Parents)

Mrs. Smith: 234-567-8901"
